Job Description

General Summary: The Summer Staff Assistant (SSA) holds a fourteen week, live-in position within KU Student Housing. The SSA performs academic outreach, administrative, customer service, recruitment, and crisis management/response functions for summer guests (summer school, apartment living, and conference attendees) and for the unit in general. The SSA works under the direct supervision of a graduate or/and full time KU Student Housing employee.

Safety and Policies:

  • Participate in overnight and weekend duty coverage. This includes completing duty rounds, responding to resident issues, addressing crisis situations, and documenting incidents.

  • Enforce KU Student Housing policies and procedures. Document incidents occurring during assigned shifts and submit appropriate documentation.

  • Monitor building access systems and security cameras for the residential community, ensuring only residents, approved staff members, approved guests, and conference staff have access.

  • Be familiar with building layout to assist in direction of emergency responders and to conduct duty


  • Participate in scheduled departmental meetings, orientations, area meetings, training, and development programs as directed by senior staff. Maintain regular communication with supervisor and other department personnel.

  • Serve as a contributing member of the “staff team,” working with the ACC, AA, another CAs, front desk and security staffs, plus conference contacts, Custodial Supervisor and Dining Manager and their staffs. Participate in all assigned summer conference or residence hall check-ins and check-outs as scheduled.

  • Perform at least 8 hours of weekly front desk coverage.

  • Assist in the preparation of all necessary administrative and conference materials.

  • Effectively and accurately perform administrative tasks related to hall and conference occupancy – maintaining key box inventory, check-ins/check-outs, lock outs, linen distribution, hall access card management, and other guest and resident service related functions.

  • Facilitate room inventory reports in APL and Summer School housing

  • Facilitate Roommate Agreement Forms in APL and Summer School housing

  • Assist in Summer Bridge moves in apartment buildings and as needed across campus

Customer Service:

  • Provide thoughtful, attentive, and professional customer service by ensuring a welcoming and approachable reception area.

  • Serve as a primary point of information through knowledge of KU Student Housing, the University of Kansas, and the greater Lawrence community. Effectively refer residents and guests to the proper resources.

  • Establish accessibility to and positive rapport with all summer residents and/or conference participants.

  • Set a positive tone for interaction, demonstrating responsibility and respect for others’ rights, diverse backgrounds, and for personal and University property. Build rapport and develop relationships with residents in the community through regular interaction and communication of appropriate information.

  • Facilitate new student orientation tours of residence halls.


  • Perform academic check-ins at the direction of the Complex Director in buildings hosting summer school and apartment buildings.


  • Have a strong working knowledge of KU, Student Housing, and appropriate policies and procedures. Serve as a positive representative of Student Housing, Student Affairs, and the university at all times. Demonstrate a commitment to personal integrity and which includes role modeling: good judgment, ethical behavior, and adherence to laws and policies.

  • Collaborate with and support other Student Housing and Student Affairs units, including hall openings/closings, room changes, and other initiatives.


  • Other related duties as assigned.

The position of SSA does not typically allow for involvement with practica or internships, regular student teaching, or outside employment. Approval from the Assistant Director for Residence Life (in consultation with the supervisory team) must be obtained in advance to participate in such activities. No excessive extracurricular commitments are possible while the halls are open. In addition to the job responsibilities outlined below, SSAs are required to participate in orientation, staff development and training, and staff meetings. Exceptions for SSAs may be granted by the Assistant Director in consultation with the ACC. Specific duty assignments will be developed in orientation and in-service training. SSAs will have a primary building assignment, and may also be asked to provide coverage to any residential facility on campus.

Required Qualifications
  • 24 or more credit hours by appointment date.
  • Summer KU enrollment must be limited to graduate enrollment of no more than 4 hours or undergraduate enrollment of no more than 6 hours; however, summer enrollment is not required. Must be available for training 04/28, 4/29, and 5/13.
Preferred Qualifications
  • Experience with KU Student Housing, with priority given to current KU Student Housing residents and staff
  • Work experience including customer service and administrative duties
  • Ability to manage work tasks in a fast-paced environment with rapidly changing priorities

Compensation: A single room and meals are provided as remuneration when the hall is officially open and the dining center is serving. When not serving on duty, SSAs may work additional hours (outside of the 8 required hours) at the hall desk depending on available hours and schedules: ($7.75 per hour minimum rate of pay). Staff will work a minimum of 20 hours weekly (based on hall occupancy) and a maximum of 30 hours a week.

*Temporary work and living arrangements may be made in alternate locations when the designated hall is closed.
