Summer Receptionist- Aspen Campus Department: ASPEN CAMPUS Location:Aspen, COBasic Function:The Summer Receptionist works closely with the Office Services Coordinator andFacilities Director to serve as the primary point of contact for visitors andstaff in the Paepcke Building. The Receptionist will answer the general AspenInstitute phone line fielding questions, and connecting calls to Institutestaff. The Receptionist will also work on special projects as assigned by theFacilities Director.Essential Duties and Responsibilities Answer general phone line, greets guests visiting the Paepcke Building. Oversee shipping and receiving of mail, FedEx and UPS shipments, andmaterials for mailing Distribute incoming mail and packages to recipients. Assist with questions from visiting staff and creating staff badges. Coordinate sign-out of Institute cars and reservations for the vehicles;assist with coordinating maintenance of vehicles, if needed. Coordinate sign-out of staff passes for Aspen Music Festival and Schoolperformances. Order We-Cycle bike passes for summer and visiting staff, and answerquestions about program. Responsible to open up Paepcke Building at the start of the workday, andlock up at day's end. Assist with daily clean-up of common areas (office supply room andkitchen) and Library and Gallery Assist with set up for Institute gatherings in the Library, Gallery andother locations, if requested. Responsible for distribution/stocking of Institute publications in thePaepcke building and other locations around campus Complete ongoing data-entry and archiving projects. Assist with installation and deinstall of art exhibits. Assist with staffing of special events (i.e., Aspen Ideas Festival,Community Programs) when needed. Assist Facilities Director and Office Services Coordinator with specialprojects.Knowledge, Education and Experience: Bachelors degree preferred. Minimum of 2 years office experience Possess a strong customer service background, high degree ofprofessionalism and the ability to multi-task. Familiarity with Roaring Fork Valley, and summer activities at the AspenInstitute. Familiarity with Microsoft Office Suite, specifically Outlook, Excel and Word Excellent interpersonal skills, and the ability to communicate clearly,appropriately and effectively with visitors and Institute staff Ability to represent the Aspen Institute in a professional manner at alltimes Ability to lift up to 50 lbs to move furniture and packages Occasional evening and weekend work requiredSchedule and Hours: 40 hours per week. The schedule for this position will be 9am - 5pm, Mondaythrough Friday each week. Occasional weekend work will be required.
